Summary

 

This is a US based position handling US leaves of absences, This position is responsible for assisting employees in addressing leaves of absence requests, short and long term disability, accommodation requests, and worker’s compensation claims. This position will provide counsel to leaders in handling issues in regards to these situations. Lastly, this position will collaborate with vendors to ensure appropriate transfer of information. 

 

Essential Duties & Responsibility

 

Provide overall support in the area of US leave administration to include the following:

  • Partner with employees to ensure they have all relevant information in order to submit a leave.
  • Answer leader questions in regards to process and concerns regarding employee leave.
  • Work with third-party administrator to ensure understanding of company-provided leave programs and accuracy of information.
  • Analyze leave reports to understand trends and possible leave abuse. Follow-up with employee and leader as necessary.
  • Coordinate the accommodation process from start to finish to include the following:
      • Meet with and provide necessary paperwork to employee.
      • Upon receipt of paperwork, review the accommodation request.
      • Engage the leader to understand whether the team can accommodate requests less an undue hardship.
      • Engage appropriate Senior Leadership for final review.
      • Close the loop between the leader and employee and document outcomes.
    • Review and process all Safety and Health Incidents as appropriate. Ensure reports are processed in alignment with OSHA standards as appropriate.
    • Work with leader and Facilities Manager to complete all Accident Investigations following an accident.
    • Analyze information from accidents to determine appropriate measures to reduce subsequent accidents.
    • Process all Worker’s Compensation Claims to include the following:
      • Provide all relevant and necessary information to employee and leader.
      • Submit all paperwork to the Worker’s Compensation provider.
      • Address restrictions with the employee and leader.
      • Coordinate all return to work activities.
      • Provide additional information to the employee, leader or vendor as relevant.
    • Coordinate ergonomic assessments for leaders who request completion.
    • Ensure compliance with applicable US federal and state laws governing leave and accommodation programs, including: Family and Medical Leave Act (FMLA), California Family Rights Act (CFRA), The Americans with Disabilities Act (ADA), Health Insurance Portability Accountability Act (HIPAA), Occupational Safety and Health Act (OSHA), etc.
  • Evaluates policies, procedures and processes and make recommendations for changes to ensure an aligned efficient process
  • Completes other activities as requested. Maintain FMLA, ADA, Worker’s Comp files to ensure accuracy and up-to-date.
  • Regular attendance, punctuality and adherence, to agreed upon schedule of availability are conditions of employment and an essential function of this position.

 

Leadership Responsibilities

 

This position does not have any direct supervisory responsibilities however it does provide leadership support, coaching and training to all employees. The position requires active leadership in the way of supporting strategic initiatives as well as active personal development and application of Six Sigma methodologies.

Additional qualifications include:

 

  • English proficiency required.
  • Knowledge of US laws required.
  • Strong analytical skills with ability to provide recommendations.
  • Ability to generate and update reports. Strong attention to detail.
  • Ability to work in a fast paced environment and meet tight deadlines.
  • Ability to work independently but also as a team player.
  • Excellent verbal and written communication skills.
  • Experience with Third Party Vendor in administration of leaves a plus, but not required.

 

EDUCATION and/or EXPERIENCE

 

Bachelor’s Degree required, preferably in Psychology, Human Resources or other business-related degree. At least 2 years’ experience in Human Resources with a focus on leaves administration preferred.

 

TECHNOLOGY SKILL BASE

 

This position requires a working knowledge of computer technology that includes: Intermediate Microsoft Word PowerPoint and Excel.  Individuals must possess the ability to learn and understand new software and other technology applications as introduced by the Client and Alta Resources.
