The Payroll Manager is responsible for running multiple bi-weekly payrolls, ensuring compliance with tax and payroll related regulations, managing the relationship with and integrity of the Ascentis/Ceridian payroll system, trouble-shooting payroll issues and responding to internal customers, and reporting on payroll related information.

  • Responsible to ensure the collection and accuracy of data necessary for payroll processing, including but not limited to status changes (from HR department and HRIS system); team member hours worked, paid and unpaid benefit time off (via Time and Labor system and in coordination with managers); deductions and garnishments, bonuses and other additional compensation.
  • Reviews and approves changes to the payroll system from HR and employee self-service (ESS). Works with HR team to ensure proper execution of HR processes that impact payroll.
  • Processes (with the help of the Payroll Specialist) and reviews bi-weekly payroll for multiple pay directories via Ascentis/Ceridian system, ensuring timely, compliant and accurate delivery of pay to all team members.
  • Ensures accurate and timely publication of W2s.
  • Processes special checks or off cycle payroll runs as needed.
  • Makes necessary calculations for any payroll adjustments, prorations, exception pay or other special circumstances.
  • Becomes an expert user of the payroll and Time Keeping systems. Administers changes/updates to the system set up and coordinates with system vendors to stay on top of changes, lead special projects or troubleshoot issues.
  • Administers and oversees time tracking system profiles, user permissions and set up. Trains managers on functions such as scheduling and time off approval. Responsible to set up and ensure the integrity of time off accrual and administration for team members.
  • Serves as a subject matter expert on tax and payroll compliance. Researches and executes any payroll requirements, including state, local and federal taxes, Social Security, unemployment, disability, pay rules, etc. Studies existing and new legislation; enforces adherence to requirements; advises management on needed actions.
  • Ensures that employee taxes, including local jurisdictions, are properly set up. Manages relationship with tax services and other stakeholders.
  • Manages 401k file transfers, company contribution administration and system updates. Manages general 401k administration and compliance.
  • Completes, interprets and shares payroll related reports. Works with Finance team, CFO and other department leaders as information exchange or reconciliations are necessary.
  • Ensures required filings are completed as necessary.
  • Leads or supports any payroll related internal or external audits.
  • Ensures Sarbanes-Oxley (SOX) and other relevant compliance for payroll procedures and approvals.
  • Addresses any questions or requests related to payroll, especially those escalated beyond Payroll Specialist. Troubleshoots and resolves any discrepancies.
  • Achieves and maintains trust through accountability, discretion with confidential information and responsiveness to EE/Company needs. Fosters relationships with internal and external stakeholders.
  • Performs payroll related due diligence, set up and integration for corporate acquisitions or any new set ups (including new companies or adjustments to workflow due to corporate/operational change). Ensures smooth, timely and compliant transitions for Company and team members.
  • Leads projects and initiatives related to establishing and improving transactional process and activities to improve and accommodate changes in payroll work flows and compliance.
  • Develops and revises payroll policies and procedures as necessary. Ensures payroll processes are scalable and ready for high growth.
  • Manages, trains and mentors payroll staff.
  • Provides ad-hoc support and leadership as needed.

Education:

  • Bachelor’s degree (4 years) in Finance, Accounting or related field or equivalent experience.

Experience and Training:

  • Minimum 10 years managing complex payrolls end to end for mid-sized organization.
  • Familiarly with Ascentis/Ceridian systems or proven adaptability combined with experience. with similar systems.
  • Experience with integrations of acquisitions.
  • International payroll processing.
  • Experience with new system implementation, preferably Ceridian and/or Workday.

Specific Skills:

  • Technically adept and experienced in the set up and design of payroll systems.
  • Strong skills in MS Office, especially Excel.
  • Subject matter expertise in multi-state payroll and wage and hour processes and best practices.
  • Well versed in FLSA, ERISA and tax and payroll regulations.
  • Mathematical aptitude, analysis/critical thinking and problem-solving skills with high attention to detail and accuracy.
  • Resourceful to research questions and stay current on changes.
