Reports to:

Senior Vice President – Real Estate


Education Required:

·        Bachelor’s degree from a four-year accredited college or university preferred. 

·         Minimum three (3) years of administrative work experience required.

·         Real Estate and/or construction experience preferred. 


Skills Required:

·         Strong verbal and written communication skills.

·         Strong organization and time management skills with ability to manage and prioritize many diverse tasks for the executives and team members.  

·         Keen sense of attention to detail demonstrating an ability to consistently produce accurate deliverables.

·         Ability to work effectively under pressure and within deadlines. 

·         High level of initiative with ability to think proactively and to utilize creative problem-solving skills.

·         Display strong interpersonal skills and the ability to create and maintain solid working relationships internally and externally.

·         Ability to maintain confidential and/or proprietary information and communications.

·         Ability and internal drive to consistently demonstrate a positive, winning attitude and a strong work ethic in the performance of all job responsibilities.

·         Ability to project a professional demeanor at all times.

·         Proficiency in Microsoft Office software applications with emphasis on Word, PowerPoint and Excel. 

·         Familiarity with Microsoft Project and Adobe InDesign a plus. 


Basic Function:

The Administrative Assistant will support the Real Estate Development team and serve as the first impression for the office to all external visitors, clients and partners. 


Duties and Responsibilities:

·         Coordinate communications, including taking calls and responding to emails

·         Greet all external visitors, clients and investors and notify appropriate parties of arrival in a professional manner. 

·         Assist in the drafting and revising of various documents, including proofreading work for accuracy.

·         Schedule meetings and appointments and maintain department calendar.

·         Conference room management: organize/maintain cleanliness of all conference rooms, making sure all chairs are in the appropriate conference room.

·         Coordinate catering needs and assist with food presentation in conference rooms. 

·         Organize and submit expense reports.

·         Sort and deliver mail. 

·         Maintain an organized filing system of electronic documents.

·         Draft and distribute meeting notes and materials to designated parties as directed. 

·         Make all travel arrangements as required for business purposes.

·         Expense reports management for the entire team. 

·         Maintain confidential and/or proprietary information of all records and reports.

·         Provide administrative support and participate in special projects as needed as approved by supervisor.   

·         Orders office and kitchen supplies for department as needed. 

·         Support the culture of McNair Interests. 

·         Position requires routine face-to-face personal interaction with visitors and staff; therefore, job responsibilities must be physically performed in the company offices and not in a telecommuting manner.

Work Environment:

This job operates in a professional office environment.  This role uses standard office equipment such as computers, phone, photocopiers, scanners and filing cabinets.  


Physical Demands:

While performing the duties of this job, the employee is regularly required to talk and hear.  The employee is frequently required to stand, walk, use hands and fingers to handle or feel and reach with hands and arms.  The employee is occasionally required to lift and/or move up to 25 pounds, open filing cabinets, stoop, kneel or crouch.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
