SUMMARY

Responsible for accurate ordering and distribution of supplies, correct processing and delivery of mail.  Direct and coordinate office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment by performing the following duties personally or through subordinates.  Directly responsible for coordinating building maintenance.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

  • Supervise departmental personnel in the delivery of services such as printing, mail receipt and delivery, security and supply. 

  • Ensure adequate office supplies and equipment inventories and supervise receiving and shipping.

  • Manage offsite document storage program with adherence to corporate document retention and disposal policies.

  • Supervise alteration of office areas and equipment, as well as layout, arrangement and housekeeping office facilities.

  • Supervise onsite printer and office machine fleet and monitor vendor maintenance services.

  • Establish and maintain vendor databases for all office products and services.

  • Routinely inspect building and evaluate use of space and facilities.

  • Oversee facility systems such as wiring, lighting, power, HVAC, security, life safety and others.

  • Plan, budget and schedule facilities modifications including cost estimates, bid sheets, layouts and contracts for construction.

  • Perform audits to support facility planning.

  • Formulate and coordinate program specifications, requirements for proposals and contracts, and associated documents.

  • Act as liaison to interal Building Advisory Committee, public utilities, environmental, energy agencies and others as required.

  • Inspect construction and installation progress to ensure conformance to established specifications.

  • Approve invoices as applicable. Prepare and utilize usage reports for accurate budgeting and bidding purposes.

  • Coordinate changes of building space allocation and layout with onsite leadership.

  • Communicate and direct activities of maintenance personnel and workers engaged in equipment installation, facilities equipment repair and preventive maintenance.

  • Review weekly departmental office supply orders for accuracy; place orders with appropriate vendors

  • Responsible for reconciliation of all incoming shipments to purchase order or release order

  • Maintain accurate usage reports on all supplies and prepare monthly volume reports

  • Track business reply and postage meter accounts and replenish funds, as needed

  • Assist employees, agents and drivers with various issues and problems.

  • Prepare annual budget for Administrative Services.

    SUPERVISORY RESPONSIBILITIES

    Directly supervises two employees in Administrative Services. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

    EDUCATION and/or EXPERIENCE

    Associate's degree (A. A.) or equivalent from two-year college or technical school; minimum of one year related experience and/or training; or equivalent combination of education and experience.

     

    LANGUAGE SKILLS

    Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

     

    Ability to read, write and speak English.

     

    MATHEMATICAL SKILLS

    Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.  Ability to compute ratio, rate and to draw and interpret bar graphs.

     

    REASONING ABILITY

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Ability to sit at workstation for 8 hour shift and perform extensive computer and telephone work.
