About The Role
 

Project Coordinator in Broadcast Media & Entertainment (M&E) - Sterling, VA
 
integral member of the project team responsible for directing, organizing and controlling project activities in the Media & Entertainment Technical Operations team. 
* Broadcast Solutions utilizing technologies  which may include: Evertz technology; Grass Valley; Ross; Imagine; Sony; and, Routing & Switching technologies.

What part will you play?  
Under the direction of the Senior Manager of Technical Operations, the Project Coordinator will work with the Sales and Operations teams and will assist with project kick-offs, equipment ordering, project logistics and project closeout procedures. 

What will you be doing?  
  • Provide general administrative support for Project Teams and Director
  • Monitoring and reporting on M&E project activities with customer follow-up as needed
  • Create financial documents in Microsoft Excel for Director as requested
  • Reproduce needed forms for project documents and QC
  • Monitor project openings and closures
  • Assist with scheduled project meetings
  • Attend weekly Tech Ops meeting
  • Type team member/manager meetings minutes
  • Run financial reports for team members.
  • Maintain billing reports, job costing, resource calendar, pipeline
  • Responsible for inventory management
  • Process RMAs for equipment returns
  • Process and track hardware orders
  • Check shipment status on equipment for project needs
  • Manage project logistics as directed by project manager
  • Coordinate travel for project teams
  • General office duties
  • Provide efficient, accurate, and effective administrative and clerical support to the Tech Ops Department
  • Check on equipment delivery status for active projects and follow up with order entry on any missing POs, etc.
  • Run detailed Job Progress Reports weekly in FACTS for open projects
  • Update Profitability reports and project forecasts
  • Track project labor, hardware, freight, and travel costs
  • Organize monthly labor and profitability reports.
  • Assist with onboarding orientation and schedule new hire training for field ops
  • Reproduces needed forms for project preparation and service
  • Provides efficient, accurate and effective administrative and clerical support to the Tech Ops department
  • Attends training classes as required by the needs of the department and assigned by the management
  • Handles other duties relative to the job as assigned by management
 
What do we require from you?
  • Two years of experience in an administrative support role and/or projects-related role.
  • MS Excel required, familiarity with MS Project and full suite of MS products a plus
  • Experience with Data Analytics & creating financial reports using formulas within Microsoft Excel.
  • Demonstrated experience in personnel management and logistics coordination 
  • Familiarity with project management software, such as MS Project, QuoteWerks, or @Task is a plus.
  • Experience at working both independently and in a team-oriented environment is essential.
