Medical Assistant/Assistant Manager - Alpena
SUMMARY
The Medical Assistant Lead / Assistant Manager oversees other Medical Assistants and clinical support positions as assigned. Under close guidance from the Regional Manager, the person in this role functions in an onsite, frontline supervisory capacity for the location. This person provides skills training and coaching for associate development and works to positively influence associate satisfaction and retention. The person in this role ensures that there is coverage available to support the providers in the delivery of quality care to patients, also functioning in the role of Medical Assistant. This associate may provide both direct and indirect patient care, as well as coordinating the provision of a variety of support functions throughout the clinic. Individuals in this position will function within the scope of practice for a Medical Assistant as determined by regulations of the state of employment. Additional duties may be assigned to the person employed in the role of Medical Assistant Lead / Assistant Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Report to the Regional Manager for location where assigned
- Oversee other Medical Assistants and clinical support staff, directing daily activities to facilitate the smooth and efficient running of the clinic
- Evaluate skills of clinical support staff for competency levels
- Provide skills training and coaching to team members for individual development while ensuring clinic quality standards and customer service goals are met or exceeded
- Provide input for performance evaluations and make recommendations for employment decisions
- Assist Regional Manager by overseeing individual and team adherence to schedule, attendance, and timeliness in arriving to work
- Under guidance of the Regional Manager, work to resolve issues with team members regarding attendance, performance, and behavior as appropriate
- Communicate with staff either one-on-one or in groups as needed
- Submit and balance inventory, maintaining supply levels as needed
- Oversee day-to-day operations of clinic to ensure provider satisfaction while maintaining efficient production tracking
- Create/maintain day-to-day schedules
- Work closely with Regional Manager on strategic planning initiatives
- Perform other duties or special projects as required or as assigned by Management
This position also includes performance of the essential duties for the role of Medical Assistant, and directing the work of other Medical Assistants and clinical support staff in the performance of the following tasks:
- Prepare and maintain examination and treatment areas
- Show patient to exam room and prepare patient for the provider; document patient history in the electronic health record, obtain and document vital signs, update patient medication list; scan documents into patient chart if needed
- Assist provider with examination, procedures, and treatments
- Respond timely to post-op calls; respond to all post-op calls by end of day
- Check work email and other systems periodically throughout the day
- Collect and document specimens, maintaining tracking logs which will also include results received, communications with patients, and follow-up required
- Prepare and administer medications as required (excludes controlled drugs); give injections per provider instructions [Note: requires demonstrated competency]; maintain medication records
- Per provider instructions, submit prescriptions via ePrescribing, phone, or fax
- Obtain prior authorizations when required
- Disclose information when required, using appropriate guidelines and following HIPAA regulations
- Maintain drug samples, injectables, and medical supplies on hand, managing expiration dates
- Sterilize medical instruments in the autoclave
- Perform routine equipment maintenance
- Clean patient care areas after each use
- Recognize and respond to emergencies under the guidance of the provider
- Work on-call shifts as assigned
- Attend/conduct staff meetings and complete mandatory in-service education/training
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of ADCS policies, including quality assurance policies and applicable government regulations and standards, and the ability to actively apply that knowledge in the performance of all job duties
- Knowledge of electronic health record access-level privileges and responsibilities, and the ability to perform duties relating to electronic health records within the parameters as assigned for limited access as allowed for this position; ability to oversee related tasks as performed by other staff
- Ability to apply principles of aseptic technique and infection control in the performance of all job duties, including the cleaning and sterilization of medical instruments in the autoclave
- Ability to practice confidentiality and follow HIPAA regulations with patient information
- Ability to practice professional ethics and use discretion concerning ADCS directives and proprietary information/trade secrets of the organization
- Ability to recognize a problem and effectively problem-solve, using guidance from the provider and/or management when necessary
- Knowledge of medical terminology and ability to use appropriately
- Ability to manage time efficiently, prioritize, multi-task, and adapt to change
- Ability to maintain high level of accuracy in all documentation and in the performance of all job duties
- Ability to perform the essential job duties within the scope of education and training
- Skilled in typing/keyboarding; skilled in using computers
- Demonstrated leadership ability to develop an efficient and customer-focused team to facilitate a smooth work flow in the clinic
- Demonstrated skill in ensuring that work of all support staff team members is completed in an accurate and timely manner with particular attention given to details
- Ability to work independently while promoting and maintaining a productive team working environment in a high demand and fast-paced workplace
EDUCATION
- High school diploma or GED required
- Associate degree or higher preferred
- Completion of Medical Assisting course required
EXPERIENCE
- Previous experience as a Medical Assistant, required
- Previous experience in a dermatology clinic, preferred
- Previous experience with electronic health records, preferred
